Features And Benefits - A Summary

Contents of Features and Benefits

Web-browser application
Blueprint OneWorld is, and has been specifically developed, as a web application. When using it, there is no need to load any other application at the desktop, other than a standard Windows word-processor, if you want to edit documents that the system has automatically produced. Users that wish to further enhance and amend the automatically or manually created group structures will also need Microsoft Visio installed on their machine. Users who wish to just view charts can do this utilising a freely downloadable Visio viewer.

Multi-platform accessibility
Whilst Blueprint OneWorld can truly be called a web product, its database of information (which can be SQL or Oracle), Blueprint DataServer, can also be accessed utilising 'thick' client wide and local area networks, using our Windows Desktop application, Blueprint 2000. Access to the Blueprint DataServer is also available via Terminal Server and Citrix Server technologies.

Potential users should not, however, confuse this with the fact that Blueprint OneWorld is a standalone Web product in its own right.

24/7 accessibility
Because Blueprint OneWorld is a Web application that resides on your Web Server, if your Web Server is available and running, Blueprint OneWorld becomes available on a 24/7 basis from any global location that has access to your corporate Intranet

If a Web-browser and access to your company corporate Intranet or the Internet is available to you, then subject to security control, Blueprint OneWorld and its data will be as well.

Reduced cost of ownership - faster return on investment
As organisations grow and the need for recording corporate compliance information in different jurisdictions increases, so the need for different locally-based applications, and their associated costs, increase. Traditional middleware applications have to be installed on each machine, with few being able to exchange and record data between different jurisdictions. This can prove costly and, with different datasets in different locations, can require considerable additional work to consolidate all of the information for viewing on a group-wide basis.

As a Web-based application, Blueprint OneWorld removes these hurdles. The program is installed once, and only once, on your Web Server. Its data is then available to all of your users globally on a 24/7 basis.

Updates to the software need also only be installed on the server to then be instantly available to all of your users on a global 24/7 basis.

Reduced costs from

  • One software installation on your server, with no need to install on every users machine, will result in significant savings in not having to visit every desktop, in every location

  • Consolidation of different desktop applications, in different jurisdictions, to one central application

  • Consolidation of different datasets, to one on your global Web Server, saves time, in reducing the need to manually consolidate information for group-wide reporting

Wizard-based transaction processing
ICSA Software was, with their Windows desktop corporate data entity management software, the first company to introduce and adopt Wizards as a means of guiding users through complex transactions. Our experience of these processes gained over 10 years, has ensured that the continuing adoption of Wizard-based transactions in our Web application Blueprint OneWorld, continues to offer more extensive and superior functionality than other vendors who have just adopted this well-trusted ICSA Software procedure.

Blueprint OneWorld adopts a 'Wizard-based transaction' approach for amending your corporate records. Wizards guide users through the transaction to ensure that all of the jurisdiction specific required information, for the type of transaction being performed, is complete.

This facility is especially useful when users are performing infrequent transactions or are new to the system. As most transactions can be performed with a Wizard, once a user has familiarised himself/herself with how the Wizards work, they are very easily able to perform all transactions - the Wizard will help and guide them through what is needed.

Our Wizards have five distinct elements to them.

  1. The transaction itself, with logical steps involved, being presented as questions that are specific to the requirements of the jurisdiction of the company that the task is being performed for

  2. A validation of the transaction, to ensure that all of the required data has been entered

  3. The choice of either updating your records immediately, or holding the information as a pending transaction

  4. Assigning the transaction to another user of the system, for the completion of the work or approval. As part of this assignment the assignee can be automatically emailed notifying them of the pending transaction

  5. The printing and viewing of the transaction. All documents are completed automatically and can, subject to security rights, then be viewed as a word-processor document for further editing, an Adobe or HTML document

Pending transactions and approvalClick to Go To Top of Page

Pending transactional processing was another 'first' made available by ICSA Software to the company secretarial software market-place, over 10 years ago. These processes have now been further enhanced in our Web application, to offer unrivalled levels of process control, and knowledge management.

After performing a transaction using a wizard, users can choose whether to update the record immediately or hold the transaction as a pending event. If a transaction is saved as a pending event and, assuming that user has the required security rights, they are able to:

  1. Reprint, at any time, the paperwork associated with the transaction
  2. Edit the transaction
  3. Delete the transaction from the pending area
  4. Assign the transaction to another user
  5. Confirm the transaction as complete

The approach used by Blueprint OneWorld in relation to pending transactions is unique, and adopted for most transactions, ensuring true workflow management and approval.

Validation checks
Yet again, a 'first' over 10 years ago for ICSA Software, and a unique facility. Validation checks ensure that the user has entered all of the required information for the transaction they are performing. These checks are pre-configured on a per-jurisdiction basis. The end-user can also configure validation checks.

Jurisdictional-based forms and document production
Blueprint OneWorld automatically produces the statutory paperwork as the user performs a transaction. Document templates are configurable on a per-jurisdiction basis. Documentation output can be to a standard word-processor, an HTML document or an Adobe Acrobat document. Once produced, documents are assigned a unique number, and can also be assigned to a user of the system. They can be emailed and can also have a reminder date attached to them. These reminders dates will be assigned to the users task list and can also trigger emails to the assigned user, to inform them of the task that needs to be completed, in association with the document.

For the added security, tracking and traceability of documents, all Blueprint OneWorld documents are stored within our own database. However, there are also solutions for linking document production in Blueprint OneWorld with a number of third party document management systems.

Compliance and task-list itemsClick to Go To Top of Page
Blueprint OneWorld incorporates an extensive compliance task list to ensure that users complete both corporate related and user-defined tasks in a timely manner. Task list items can be added in a number of ways.

  • As jurisdictional specific compliance dates that are automatically calculated by the system, based on supplied templates that the system supervisors can amend

  • As manual entries added by a user for themselves, or subject to access rights, added, but assigned to you by another user of the system

  • As automatic entries based on a pending transaction within the system

  • As an automatic or manual entry associated with a document or series of documents within the system

Task-list items can also be linked to users email (MAPI compliant) and Microsoft Outlook© diary systems.

Proactive compliance reporting

Email notification

Similar systems to Blueprint OneWorld have compliance reporting facilities. These tend to be based on the user running a report or, perhaps, logging into the system to ensure notification of impending tasks (many quite likely to be associated with a statutory filing). But what if the user does not enter the system? Dates and key tasks can be missed completely until it's too late!

Blueprint OneWorld deals with compliance and task list items differently. The system will notify a user that a task list item has been assigned to, proactively and automatically, regardless of where they are, using your own email system.

Jurisdictional-based dynamic user interface
The Blueprint jurisdictional-driven Dynamic User Interface [DUI] will configure its data views to support the jurisdiction of the company you are looking at. There is no need to log in and out of different datasets for each of the jurisdictions you are recording information for. As you enter a company, the system will recognise its jurisdiction and then present the fields for the information that is pertinent to the country or state. The DUI also provides the foundation for different language requirements and screen customisation by the end-user.

Jurisdictional specific document templates
Document production in Blueprint OneWorld is automatic. As you perform a transaction that requires a form, minute or resolution, the system will automatically complete and produce the required paperwork. The templates used for this document production are all fully configurable by the end-user (assuming they have the correct security rights). The clever part here is that these templates, which include reporting templates, are amended using your standard Windows word-processor. There is no need for additional 3rd party document assembly software. There is no requirement to have to learn a new application, in order to be able to realistically use the document production facilities of our software. You simply use the word-processor that you are already familiar with.Click to Go To Top of Page

Co-form production
Blueprint OneWorld comes supplied with an extensive library of global forms. In addition to these forms being automatically completed by the system as you perform a transaction, users can manually complete forms on-screen. Forms have been fully approved by the relevant regulatory authorities and as part of our support services to you; we will ensure that the system always comes supplied with the latest versions of these documents.

In addition to the core entity recording and management functionality offered by our system, Blueprint OneWorld comes supplied with a fully configurable (on a per-jurisdictional basis) Data Library. The Data Library allows you to record any other information you require concerning your entities. Users can add their own menu items and fields. Unlimited user-defined data object templates can be added to the system. Unlimited data objects can be added to any of Blueprints OneWorld entities.

Blueprint OneWorld data libraries come pre-configured with sections to record the following:

  • Patent Trademark and Copyright information

  • Banking Information

  • Contract Management Information

  • Tax Compliance Information & Filings

  • Industry Compliance Information & Filings

This list is not exhaustive, the Data Library also has the unique feature of the end user being able to easily define unlimited new jurisdiction specific data objects themselves.Click to Go To Top of Page

Group Structure
Blueprint OneWorld has extensive Group Charting functionality. Users are able to automatically create charts based on both % and shareholding or a mixture of both. Initially charts are available automatically in a 'quick view' format on-screen.

Charts can also be produced as Microsoft Visio charts for more complex editing functionality a user may wish to apply to the charts produced. Our experience of being the first to produce automatic group charts in our desktop product, has given us the knowledge to ensure users are able to have their charts in the format they require. Charts can also include different colors and shapes for different entities. Users are also able to email charts produced.

Blueprint OneWorld's charting functionally will also allow users to produce charts based on many different selection criteria including legal and user-defined (e.g. tax) structures.
