At the heart of Blueprint
2000 – a central corporate database
At the heart of the Blueprint 2000 Company Secretary is a fast,
powerful database, storing and protecting the information for your
organisation.
Full details for each of your companies are recorded, making it easy
to retrieve any data that you need. As you change any of this information,
Blueprint 2000 automatically generates all of the relevant paperwork, including
minutes and resolutions, in your word processor. There is no need to
import or export information and all forms are ready to view on-screen.
Also able to work with Microsoft SQL Server, the system has been specially
designed to keep processing time to a minimum for larger organisations.
A comprehensive range of registers is maintained on the system and your
historical information is retained to form a traceable audit-trail.
You can quickly generate a selection of standard reports, which can
be easily customised using your word processor to meet your individual
requirements.
Intuitive and easy to use
We appreciate that you need a system everyone in the department
will find easy to use and quick to learn. That is why we have ensured
Blueprint 2000 is as intuitive as possible, with Wizards to take you
through transactions step-by-step. If you want to perform a transaction
you have never done before, or if you are new to the system, it could
not be easier. Select the transaction, answer the questions presented
on-screen and that is it; all of your paperwork is produced in your word
processor for you and the transaction is completed.
Works the way you do – with pending and incomplete
transactions
With the pending facility in Blueprint 2000, you only commit
a transaction to the database when you are happy it is correct. All
transactions can be performed as pending, the associated documentation
can be viewed on-screen, saved and printed, but the central database
is only updated when you confirm your acceptance of the transaction.
To ensure that you remember to action these pending transactions, you can
set reminders for each event. You can use pending to make sure you have
all of the correct details, for tracking paperwork sent to other departments
or companies and for reproducing paperwork lost or misplaced. Only action
and complete it once you have the signed
documentation in your possession.

Professional documentation in a variety of formats
All documents are generated automatically, in a logical
progression, and are then available to distribute in a variety of formats.
Seamless links to your Windows word processing package ensure that your
documentation can be added to and edited without the frustration of
moving between different systems and you can set up user-definable templates.
Blueprint 2000 Company Secretary allows you to e-mail forms, registers
and reports to colleagues and directors. It also lets you preview all
documentation, including forms, before printing, so you can check for
any errors. Each company stores a record of all associated documents,
each with its own unique number, allowing you to easily retrieve and
view historical paperwork.
Completed forms – ready to preview, print or
e-mail
Blueprint 2000 Company Secretary will generate a comprehensive
range of statutory forms for a number of jurisdictions. Forms are automatically
created using your stored corporate information as you perform an event.
There is also the option to complete blank forms on-screen. Once a form
has been completed, you can preview it on-screen and print it or send it
to colleagues via your e-mail system. You also have the option to automatically
produce any other type of document, along with the statutory paperwork
for a particular event. These could perhaps include letters or checklists
for internal use.
Extensive compliance diary and checklists
To keep you up-to-date with your workload, Blueprint 2000
Company Secretary includes an extensive compliance diary which lists
an overview of all tasks due to be completed for any given day, week
or month. The diary will also show you any statutory work that has become
overdue for any of your companies. Easy to customise, you can choose
whether to view information in Gantt charts or checklists, which can
be printed out. There is also an optional additional module available
to link to company e-mail systems, allowing the
system to automatically alert you to outstanding tasks. This module
will even send an e-mail reminder as critical dates approach or if information
changes within the system – all without you having to go into Blueprint
2000 itself.
Multi-jurisdiction support
Blueprint 2000 automatically supports multiple jurisdictions
for the production of forms, minutes, resolutions and compliance checking.
For example, setting the jurisdiction of a company to Ireland will then
ensure forms approved and accepted by CRO (Companies Registration
Office)
are produced, along with the minutes or resolutions correctly worded.
Protecting your company
information
Blueprint 2000 Company Secretary looks after the integrity of your
corporate data in many ways. As you perform a transaction, the system
alerts you to any missing information that is required to keep you compliant.
As a further check, the system has the facility to run validation reports.
These reports will highlight any statutory information that is missing
from, or still needs to be added to, your company records.
Unrivalled on-line
help
and guidance
Blueprint 2000 Company Secretary includes a wealth of on-line
information to help with your day-to-day work. This includes an electronic
copy of the abridged Companies Act and copies of the Companies House
Notes for Guidance booklets. As our system is context-sensitive, you
can automatically refer to the appropriate section of either of these
works at any time. There are also direct links from within the software
to helpful Internet sites, such as The ICSA and Companies House. Our
intuitive on-line Help provides notes and tutorials, and supplies you
with information on suggested working practices.
User-definable screens and fields
As there are many other areas of information that you may
want to record against your company or individual data, Blueprint 2000
allows you to easily add, not just your own definable fields, but user-definable
screens as well. This powerful tool means that you can record
and report on any other information you want to retain within the system.
